When you contact BJCH Center through the Site, we may collect information that you voluntarily provide, including:

- your first and last name;
- your email address;
- the content of your message or comments;
- files or other materials that you choose to attach.

Submitted materials may themselves contain personal data relating to you or other persons, for example names, photographs, biographical information, family relationships, voice or video recordings, or other historical information.

Providing information or materials through the contact form is voluntary.

We may also collect limited technical information relating to the use of the Site, as described in Section 5 below.

BJCH Center may process personal data in order to:

- respond to enquiries and communicate with you;
- receive and review materials that you voluntarily submit;
- assess whether submitted materials may be suitable for inclusion in the Virtual Museum;
- contact you for further information about submitted materials;
- document the provenance and rights status of materials subsequently accepted into the collection;
- operate, maintain, secure and improve the Site and the Virtual Museum;
- comply with applicable legal obligations and protect legitimate rights and interests.

Depending on the circumstances, processing may be based on your consent, steps taken at your request in connection with a possible contribution, performance of an agreement with you, compliance with legal obligations, or BJCH Center’s legitimate interests in operating and protecting its cultural and collection-related activities.

Where submitted materials contain sensitive personal data or personal data relating to other persons, BJCH Center will assess whether and on what basis such information may be retained, processed or made publicly accessible before any publication.

Submitting materials through the contact form is intended for preliminary review only.

Submission does not transfer ownership or copyright to BJCH Center and does not authorise publication of the materials or their inclusion in the Virtual Museum.

If BJCH Center wishes to include submitted materials in the collection, the conditions governing their use, publication, attribution and licensing will be addressed separately with the contributor, normally through a Contributor Release and Grant of Non-Exclusive License and the relevant accompanying documentation.

Where submitted materials contain information about persons other than the sender, BJCH Center may review relevant privacy, personal-data, image-rights or other issues before deciding whether and how the material may be made publicly accessible.

BJCH Center may use analytics tools and similar technologies to understand how visitors use the Site, monitor its performance and improve its functionality.

Such tools may collect technical information such as:

- IP address;
- browser and device information;
- pages visited;
- approximate location derived from technical data;
- information about interactions with the Site.

Analytics information is used only for statistical, technical, and website-improvement purposes and is not used by BJCH Center for advertising profiling.

Where applicable law requires consent for the use of particular cookies or similar technologies, BJCH Center will apply the relevant consent requirements.

Access to non-public personal data is limited to persons who need such access for the operation of the Site and the Virtual Museum.

This may include:
- authorised members of the BJCH Center team;
- authorised persons involved in reviewing and managing contributions to the Digital Collection;
- trusted hosting, cloud, IT and other technical service providers supporting the Site and its storage infrastructure. 

Such service providers may process personal data only insofar as necessary to provide the relevant services and subject to applicable data-protection requirements.

BJCH Center does not sell personal data.
If personal data are transferred outside the European Economic Area, BJCH Center will apply safeguards required by applicable data-protection law.

The Virtual Museum works with historical and cultural materials. Such materials may contain information about identifiable persons, including persons other than the contributor who originally provided the material.

BJCH Center takes reasonable steps to review available information about provenance, rights and privacy before making materials publicly accessible. However, historical records may contain incomplete, uncertain or previously unknown information.

If you are depicted, identified or referred to in material published through the Virtual Museum, or if you believe that publication of particular material affects your privacy or other rights, please contact:

Please identify the relevant material and, where possible, briefly explain your relationship to it and the nature of your concern.

BJCH Center will review the request and, where appropriate, may:

- correct or supplement information;
- modify attribution;
- anonymise or redact personal information;
- temporarily restrict access while a matter is reviewed;
- permanently restrict access; 
- or remove material from public access.

The appropriate response will depend on the circumstances of each case and applicable legal obligations and rights.

BJCH Center retains personal data only for as long as reasonably necessary for the purposes for which they were collected.

Information and materials submitted through the contact form may be retained while the submission is being reviewed and related communication is ongoing.

If submitted material is not accepted into the Digital Collection, BJCH Center will not retain the material or associated personal data longer than reasonably necessary unless there is a legitimate or legal reason to do so.

Where material is accepted into the Virtual Museum, records necessary to document its provenance, permissions, rights status and collection history may be retained for longer periods in accordance with the relevant Contributor Agreement and responsible collection management practices.

BJCH Center takes appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, loss or disclosure.

Submitted information and files may be stored within the technical and cloud infrastructure used to operate the Site and the Virtual Museum, with access limited according to operational responsibilities.

Subject to applicable data-protection law, you may have the right to:

- request access to your personal data;
- request correction of inaccurate or incomplete data;
- request deletion of personal data;
- request restriction of processing;
- object to certain processing;
- withdraw consent at any time where processing is based on consent;
- request data portability where applicable.

Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

These rights are not absolute and may be subject to exceptions provided by applicable law.

You also have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych — UODO) in Poland.

BJCH Center does not use personal data collected through the Site for automated decision-making or profiling.

BJCH Center may update this Privacy Policy where the Site, the Virtual Museum or the way personal data are processed changes.
